Hot Work Permit Software

Hot work causes more industrial fires than any other maintenance activity, and almost always because a permit was issued without the atmosphere being tested or the area being cleared. EZEE Portal issues hot work permits through a high-risk route where those steps cannot be skipped.

What counts as hot work

Any activity producing sparks, flame or sufficient heat to ignite a flammable atmosphere: welding, gas cutting, grinding, brazing, soldering and thermal spraying. In a plant carrying hydrocarbons, solvents or combustible dust, the risk is not the flame itself but what surrounds it.

The hazards the permit already knows about

Raise a hot work permit and the system attaches its default hazard set immediately, rather than relying on whoever is filling the form to remember them.

  • Ignition from the hot work itself
  • Flammable atmosphere in the surrounding area
  • Hot surfaces persisting after work stops
  • Toxic gas released by heating coatings or residues
  • Falling objects where work is performed overhead

Mandatory PPE, enforced not suggested

The permit carries its required protective equipment as part of the type definition: hard hat, welding shield, flame-resistant clothing, safety gloves, safety shoes and ear protection. The list appears on the permit and on the printed copy taken to the job.

Eight stages before a flame is struck

Hot work is routed automatically to the high-risk workflow. The sequence is deliberate and each signature belongs to a different person.

Raise, review and test

The initiator raises the permit. A Safety or EHS officer reviews it within an eight-hour service level. An authorised gas tester then verifies the atmosphere within two hours of the work window — recent enough that the reading still means something.

Authorise and accept

The permit issuer authorises, the area owner approves work in their zone, and the performer accepts the permit before starting. Three separate people, three separate signatures, no self-approval.

Monitor and hand back

Periodic monitoring runs while the job is live. Closure and hand-back is signed by the issuer, which is when fire watch ends and the area returns to normal operation.

Replacing the hot work permit format you print today

Most Indian plants run hot work on a carbonless triplicate pad — one copy at the job, one with the issuer, one filed. It works until you need to prove something six months later, or until the pad runs out on a night shift.

The digital permit keeps the same structure your team already recognises, prints with a QR code for the copy taken to the job, and keeps the record searchable instead of boxed.

Try it on your own site

A self-service trial provisions a working tenant with the standard catalogue already loaded, so you can run a real process rather than watch a demo.

Frequently asked questions

Does the hot work permit include gas testing?

Yes. Hot work is routed to the high-risk workflow, which has a mandatory gas test and atmosphere verification stage signed by an authorised gas tester before the permit can be issued.

Can we still print the permit for the job site?

Yes. Permits print with a QR code so the physical copy at the job can be traced back to the live record, which keeps the familiar paper-in-hand practice without losing the audit trail.

Who is allowed to authorise hot work?

Only a user holding the permit issuer role, and only after the EHS review and gas test stages are signed. The area owner must separately approve work in their zone, so no single person can authorise hot work alone.

What happens if work runs past the permit window?

The permit must be extended or re-issued. Closure and hand-back is an explicit signed stage, so a permit cannot quietly lapse while work continues.
